When WhatsApp Stops Being Enough for Your Business
WhatsApp works well for a small team. As the team grows, enquiries get missed or duplicated. How to tell, and what to check before adding another tool.
WhatsApp is a powerful way for a business to talk to customers, and for a small team it works really well. Managing enquiries gets more complicated as the team grows.
What starts to go wrong
When several people handle leads and customer conversations, each from their own inbox, the same problems tend to appear:
- Follow-ups get missed
- Two people reply to the same customer
- Nobody is sure who owns an enquiry
- Customer information is scattered across phones
You don't have to stop using WhatsApp
None of this necessarily means you should move away from WhatsApp. Your customers can keep using it.
What changes is how your team works behind it. A shared inbox, a defined sales process, or a CRM can help you manage conversations and follow-ups more effectively.
A simple way to find out
Review your last 10 customer enquiries. Can you identify who handled each one, whether they followed up, and what happened next?
If you can't, start by identifying those gaps before you introduce another tool.
What to do now
- Pull up your last 10 customer enquiries.
- For each one, note who handled it, whether they followed up, and what happened next.
- Mark the ones you cannot answer. Those gaps are where to start.
- Fix the gaps before you introduce another tool.
